CourtBeam Privacy Notice
PicklePro Tech LLC, operating as CourtBeam ("CourtBeam", "we", "us"), provides club management and booking software. This Notice describes personal information processed through our marketing website, staff application, player portals, CourtBeam and club-branded mobile apps, demonstrations and support.
Need account deletion instructions? Read the account deletion guide.
1. Who is responsible for your information
CourtBeam determines how information is used to manage its own business accounts, subscriptions, marketing, support and platform security. For those purposes, CourtBeam is a controller or business under applicable privacy law.
The club you choose determines how its player, guest, staff, booking, event, membership, waiver and club communications records are used. CourtBeam processes those records for the club under the Data Processing Addendum. A club may have its own notice and independent obligations. Contact the club about its records, or contact us for help identifying the responsible club. A club-branded app does not change these roles.
2. Information we collect and its sources
- Account and contact information: name, email, phone number, sign-in provider, verification status, account identifiers and preferences. You provide it, your sign-in provider returns it, or a club enters it when registering or booking for you.
- Club and business information: legal and display names, address, country, currency, billing contacts, staff roles, court configuration, policies, waivers and public club listings. Club personnel provide it; business contact and club information may also come from public business sources or referrals.
- Transactions and participation: bookings, registrations, attendance, memberships, eligibility, waitlists, club credit and adjustments, payment references, cancellation and refund records, receipts, waiver versions and acceptance timestamps. These records come from your activity, club staff and payment providers.
- Content and communications: profile images, club images and logos, announcements, messages, support requests, demo bookings, content reports and associated metadata. You, club staff or other participants provide it. Do not provide someone else's details unless you have authority to do so.
- Device, network and service activity: IP address, approximate location inferred from the network, browser and operating system, app version, request identifiers, timestamps, security events, error diagnostics, push tokens, installation/session identifiers and coarse screen visits. Our services and providers collect it when you use them.
- Marketing and measurement: referral pages, landing pages, campaign parameters and advertising click identifiers, cookie identifiers, demo and signup activity, subscription conversion events and communication preferences. These come from your browser, interactions and our scheduling or measurement providers.
- Payment information: Stripe or another enabled payment provider collects payment credentials directly and supplies payment-method references, transaction status, amounts, currency, tax and refund information. CourtBeam does not store full card numbers or CVV. Identity documents requested by a payment provider should be supplied through that provider's secure process, not CourtBeam notes or support email.
Do not submit medical records, government identifiers, financial-account credentials, passwords or unnecessary sensitive information in notes, announcements or support messages. CourtBeam is not a medical-record service. Clubs must arrange a separate appropriate process for sensitive health or youth-safety information.
3. How we use information
We use information to create and authenticate accounts; configure clubs; show availability; manage bookings, events, memberships, waitlists and club credit; process charges and refunds; deliver notices and requested notifications; provide support and demonstrations; investigate abuse; maintain financial and security records; and comply with law.
We also measure service performance, understand website and app use, prepare club activity reports and evaluate marketing campaigns. Player usage reporting can include guests and signed-in players. Signed-in activity is linked to an account to count distinct players; club reports show aggregate results. Aggregating a report does not make the underlying account-linked activity anonymous. App-store download and performance reports are separate from CourtBeam's own usage collection.
We may send relevant business marketing where permitted by law. Marketing email offers an unsubscribe option. Service messages about authentication, payments, bookings, account security or safety are separate from marketing. Push permission is controlled through your device settings; turning it off does not turn off all app data processing.
We do not sell player records for money or use private player notes, waivers, phone numbers or email addresses to create advertising audiences. Website campaign and conversion measurement involves identifiers and is described in the Cookie Notice. We do not treat pseudonymous identifiers as anonymous information.
4. Sharing and visibility
We share information needed for a feature with the club you select and its authorized staff. Announcements, profiles and event participant details can be visible to the audiences selected through that feature, including other participants where a roster is shown. Public club listings and public content can be seen by anyone. Check the audience before submitting content; do not post private contact or account information.
We use service providers for hosting and data storage, authentication, email delivery, error diagnostics, customer support, demo scheduling, analytics, and mobile app distribution. We use Stripe for payments and Firebase Cloud Messaging for push notifications, with Apple Push Notification service for iOS delivery.
These providers process information needed to perform their functions. Our Service Providers and Subprocessors page identifies the providers and explains their roles. Payment providers, app stores and clubs may also process information independently under their own privacy notices.
We may disclose information to professional advisers under appropriate confidentiality duties; to authorities or others where required by law or necessary to protect rights and safety; at your direction; or in connection with a merger, financing, acquisition or transfer of our business, subject to appropriate safeguards. Linked websites and third-party services have their own privacy practices.
5. Cookies, storage and measurement choices
We use cookies and browser or device storage for authentication, security, preferences, acquisition measurement and enabled analytics. See the Cookie Notice for named technologies, duration information and available controls.
Browser settings can block or clear cookies and site storage. Google offers an analytics opt-out tool. Some CourtBeam web measurement respects Global Privacy Control or Do Not Track; those signals do not currently operate as a single control for every integrated provider. Native player usage reporting currently has no in-app opt-out. Contact us about objections or restrictions available under applicable law. This Notice is not consent to optional tracking, and accepting the Terms does not provide that consent.
6. Retention and deletion
We determine retention by the purpose, type and sensitivity of information, the account or club relationship, financial and legal requirements, dispute periods and security needs. Account and club records generally remain while needed for the service. Financial, waiver, fraud-prevention, dispute and audit records may need to remain after account closure. We restrict retained records to their continuing purposes and delete or anonymize information when it is no longer needed.
Full account deletion removes or anonymizes supported records across clubs and removes linked player analytics records. Non-identifying aggregate totals may remain. Deletion does not automatically refund a booking, extinguish an amount owed or erase a club's separately held records. Backup copies may remain until the applicable backup cycle replaces them; they remain protected and are not used to restore an active account without a lawful reason. See the Account Deletion Guide.
Cookie and local-storage lifetimes are described in the Cookie Notice. A short technical expiry for a session or duplicate-event record is not a retention limit for all information collected through it. Contact us for retention information about a particular record.
7. Your rights and requests
Depending on applicable law and exemptions, you may request information about processing, access, correction, deletion, portability, restriction, objection, withdrawal of consent, or an opt-out of sale, sharing, targeted advertising or qualifying automated decisions. You may use an authorized agent where law permits. We will not unlawfully discriminate against you for exercising these rights.
Email support@courtbeam.com, or write to the address below. We use proportionate identity and authority checks, such as confirming control of the relevant account. Do not email passwords, verification codes, card numbers or identity documents. We will explain any additional verification needed through an appropriate channel, respond within applicable legal time limits and explain a refusal or extension where required. If a club controls the record, we will assist or route your request to it as appropriate.
To appeal a denied request where applicable law provides an appeal, reply to our decision or email support@courtbeam.com with "Privacy appeal" and the request reference. We will explain the outcome and available complaint routes. You may also complain directly to your competent privacy regulator or state attorney general. You do not need to contact us first to exercise a statutory complaint right.
8. US state privacy information
Where applicable state privacy laws cover our processing, Section 2 describes identifiers and contact/customer records; commercial and transaction information; internet or electronic activity; approximate geolocation; professional/business information; and images or communications you provide. Sources are in Section 2, purposes in Section 3, recipient categories in Section 4, and retention criteria in Section 6. Account access information may be sensitive personal information under some laws; we use it for authentication and security, not to infer sensitive characteristics.
We do not sell player information for monetary consideration. Legal definitions of sale, sharing and targeted advertising can extend beyond a monetary sale and can depend on measurement-provider configuration. Contact us to exercise applicable opt-out rights for website measurement and request information about disclosures during the applicable reporting period. The Cookie Notice explains current controls; it does not promise a browser signal disables every provider.
California residents may also request information about disclosures covered by the Shine the Light law. Other state rights, including correction, portability, appeal and rights concerning qualifying profiling, apply when their legal conditions are met. We do not use club usage reports to make decisions about credit, employment, housing or similarly significant matters. A club's eligibility rules and a payment provider's fraud decisions are separate processes; contact the relevant decision maker for assistance.
9. European and other international users
When the GDPR or UK GDPR applies to processing for which CourtBeam is a controller, our bases, as applicable, are: performance of a contract for account and service delivery; legal obligations for required financial records and lawful requests; legitimate interests for proportionate security, fraud prevention, support and service improvement where not overridden by your rights; and consent for optional processing where required. Business marketing relies on consent or a lawful interest as applicable to the communication and jurisdiction. A club determines and documents the basis for its own processing.
Where consent is the basis, you may withdraw it without affecting earlier lawful processing. You may object to processing based on legitimate interests and to direct marketing. If information is necessary for a requested feature and you do not provide it, that feature may be unavailable. You may complain to a competent supervisory authority, including in your place of residence, work or an alleged infringement.
CourtBeam is based in the United States. Information may be processed there and in other countries where providers operate, whose laws may differ from yours. Where a restricted transfer requires safeguards, the applicable parties must put an approved transfer mechanism and necessary supplementary measures in place. Contact us for information about applicable safeguards or a copy subject to lawful redactions. This Notice does not assert that CourtBeam has a Data Privacy Framework certification, an appointed European representative or an executed transfer agreement merely because you visit the website. Other mandatory local privacy rights remain unaffected.
10. Children and security
CourtBeam is not directed to children under 13. An independent account holder must be able to enter a binding contract under the Player Terms. Clubs must not use ordinary signup as a substitute for parental consent or a youth-safety process. Contact us if you believe a child supplied information contrary to this policy so we can investigate and take appropriate action.
We use access controls, authentication, transport encryption, provider-managed storage encryption, security logging and other safeguards appropriate to the service. No system is completely secure. We investigate suspected incidents and give notices required by law and contract. Contact support if you suspect unauthorized account access.
11. Changes and contact
We publish an updated date when this Notice changes, give additional notice for material changes where required and obtain consent when required for a new use. A changed notice does not retrospectively authorize an incompatible use of previously collected information.
